Overview

Naylor is searching for temporary contract work estimated for 12-14 months.

 

This position is responsible for the processing of ad copy and other information related to the sale of advertising. Duties include communicating with advertising clients/sales representatives to obtain ad copy, providing excellent customer service, inputting advertiser and order information into MIS, and working with the sales representative on any issues related to the processing of the sale. This position collaborates closely with the Ad Operations team and reports to the Media Coordinator Supervisor.

 

 

Responsibilities

Essential duties and responsibilities include the following. Other duties may be assigned as need arises.

  • Obtain ad copy and other deliverables from sales representative/advertising clients to complete an advertisement order.
  1. Review incoming ad copy to ensure accuracy (i.e. size, shape, color, index, location).
  2. Contact client/sales rep via telephone and/or email to obtain ad copy and/or information to facilitate the processing of the sale.
  3. Upload ad copy and enter all necessary information to order entry.
  4. Provides excellent customer service to internal and external clients.
  • Input advertisement order information into MIS.
  1. Confirm and add new advertiser address and contact information in Advertiser Management module.
  2. Verify that all necessary information has been acquired to complete a sale.
  3. Assure correct ad copy is attached.
  4. Relays advertisement orders to the production department.
  • Coordinates with sales representatives to complete any ad revision or order changes
  1. Process revisions and enter Support Requests for ad copy and URL link updates (may send to 3rd party outsource vendor – QBS).
  2. Document communication of changes in MIS (Communication Field or MC Workload Module) and notify sales reps if a change impacts the price and/or billing of an order.
  • Additional duties may include:
  1. Assist sales reps with Problem Ad identification and resolution.
  2. Work with the Collections team to resolve credit holds.
  3. Coordinate ad proof approvals with sales rep and/or client.
  4. Process pull from exact orders, ensuring previous artwork is correct and attached to the order prior to relaying.
  5. Process order revisions and Assist as needed with ad-related administrative and quality checks in the layout of print projects as part of ACTW and ECTW duties.
  • Provides general administrative support to leadership team, assigned sales representatives and as assigned by Media Coordinator Supervisor.
  1. Contribute to training documentation as assigned by the Media Coordinator Supervisor.
  2. Additional administrative support assigned based on sales initiative needs.

Qualifications

  • Post secondary education or training in Sales or Business Administration (preferably, a two year college degree/diploma).
  • A minimum of four years administrative/clerical experience, preferably in a production environment and in a supervisory role
  • A minimum of two years experience as Sales Administrator or Project Administrator at Naylor (or in a comparable work environment).
  • Superior written and verbal communication skills.
  • Strong organizational and interpersonal skills with the ability to work in a fast-paced, deadline-oriented environment.
  • Intermediate proficiency using Microsoft Office - Word and Excel.
  • Minimum keyboarding speed of 40 wpm.
  • Proficient using Naylor’s MIS system.
  • Must have complete understanding of all sales budgeting guidelines for project and sales representative’s personal budgets.
  • Ability to conduct self according to Naylor’s operating values, which include operating with honesty and integrity, and in a spirit of teamwork and respect.
