We are seeking a dynamic professional looking to provide excellent customer service to our medical specialty client groups. The ideal candidate would have a can-do attitude and demonstrate the ability to handle a variety of tasks. This position supports company growth and offers potential for career advancement within a growing client services business. While this position does have reception responsibilities, the primary focus would be to provide client callers with solutions for their inquiries. This role would also provide administrative support to the Accounting team and senior leaders. Strong customer service skills are essential to work with our 90+ client associations.

 

 This role is performed onsite Monday through Friday in our new Schaumburg, Illinois offices.

Responsibilities

I. Receive/answer incoming requests

    • Answer multiple phone lines and assist incoming callers
    • Carefully screen calls to ensure complete understanding. Provide clients with solutions via phone/email, transferring all calls when appropriate to the correct internal contact.
    • Ensure follow-ups are being provided for clients that are waiting for assistance.
    • Take dues payments, meeting registrations, membership applications, and information updates.
    • Email/fax receipts, CME credit and publications requests.
    • Respond to all inquiries submitted electronically through individual society websites.

II. Reception

    • Greet all visitors in a professional and friendly manner.
    • Receive and notify incoming deliveries to their recipients.
    • Contact associates when their scheduled guests have arrived.

III. Assistance for client matters in all departments includes but is not limited to:

Support for Accounting department:

    • Data entry to our internal accounting system.
    • Assist with Accounts Payable tasks as assigned.
    • Reconciliation of invoices for client reimbursable expenses.
    • Other duties as assigned.

Support for Association Management and Meeting Planning:

    • Day to day support of WJW team members with client needs to include a variety of tasks including meeting logistics, correspondence, social media needs, etc.
    • Special projects, requests, and other duties as needed.

Qualifications

    • Bachelor’s degree in business, Communications, or a related field preferred.
    • 2 years of experience in general office administration or recent graduates with some related office experience.
    • Demonstrated general office experience and bookkeeping/accounts payable experience.
    • Excellent verbal and written communications skills.
    • Strong problem-solving abilities and a proactive approach to challenges.
    • Ability to manage multiple tasks and prioritize effectively.
    • High level of emotional intelligence and interpersonal skills.
    • Proficient in using Microsoft Office Suite and ability to quickly learn new software as the role requires it.
    • Ability to work independently; self-starter willing to take on a variety of tasks with enthusiasm.
