  • Overview

    This position is responsible for courteous reception of guests and general office support as assigned for the Atlanta office.  As a front-line customer service provider, this position must embrace the company’s vision of “everything we do, we do with exceptional customer service,” as the position has a high level of interaction with both internal and external customers.  Additional responsibilities will include administrative & facilities support for the Branch Support Manager.

    Responsibilities

    1. Greets all guests to the office and ensures all are handled in a professional and courteous manner.
    • Welcomes guests and notifies staff when guests are waiting for them at the reception area.
    • Ensures that the reception area is presentable at all times.

     

    1. Specialized Support Tasks
    • Accounting Administrative Functions - Invoice prep and incentive program documentation
    • Travel Support – Coordinate travel for Atlanta Branch staff and Naylor team members traveling to Atlanta. This can include airline, hotel and car reservations.
    • Administrative support for Atlanta’s Committees (Social, Philanthropy and Health & Wellness) –Responsibilities include the setting of monthly meetings, development of activity ideas, meeting agendas and support in the administration of the planned activities.

     

    1. General Office Support Tasks
    • Prepares the mail packages as well as assisting other departments with any FedEx/UPS needs.
    • Receives packages and deliveries to the office and special handling packages, such as express deliveries, etc.
    • Picks up mail from building delivery site. Responsible for sorting and distributing internal mail /packages into the appropriate mailbox or directly to the appropriate personnel.
    • Maintain the inventory of office and kitchen supplies and orders supplies as necessary.
    • Maintains schedule for all conference rooms.
    • Sends the monthly employee birthday and anniversary emails to the branch.
    • Maintains the publication library in support of the sales staff.
    • Supports supervisor in the planning and execution of special branch events including monthly branch meeting, luncheons, holiday party and awards presentations.
    • Supports supervisor on administrative tasks as necessary.

     

    Qualifications

    • High school diploma required, associate’s degree preferred.
    • 2-3 years of general office experience preferred.
    • Must maintain a neat, professional image at all times, including wearing appropriate business attire.
    • Proficient at Microsoft Word and Excel.
    • Familiarity with Naylor’s MIS preferred.
    • Excellent verbal communication skills. 
    • Good written communication skills.
    • Excellent time management and organizational skills
    • Excellent problem-solving skills.
    • Ability to work comfortably with all levels within the organization from entry-level to senior management.
    • Must conduct business activities within the Naylor code of conduct and in a professional manner with the highest degree of quality.
    • Must promote teamwork among the various functions of the branch and the company to ensure long-term success of the business.
