As our Event Marketing Manager working out of our Tyson’s Corner, VA office, you will be responsible for creating and coordinating all marketing and communication projects associated with Naylor Events Solutions. This includes the creation, production and distribution of marketing materials and communications that support the exhibitor and attendance promotion for client events.  You will interface with multiple internal groups (Business Development, Show Management, Client Services, and the design team) as well as Naylor’s association partners/clients and external vendors.

Responsibilities

1. Creates and executes multi-channel marketing and promotions strategies to achieve the goals and objectives set forth by our clients.

  • Obtains input and buy-in from Show Managers and client points of contact on marketing plans
  • Develops creative briefs and writes benefit-driven copy for a variety of marketing communications
  • Coordinates production, printing, mailing and distribution of all print and digital marketing materials including, but not limited to: exhibitor prospectuses, membership brochures, email marketing campaigns, ads, flyers, press releases and other sales collateral

 

2. Provides support for new business proposals.

  • Works with graphic designers and management to determine print specifications and works with third party print vendors to gather price quotes
  • Provides other coordination assistance related to proposals

 

3. Manages time lines and production schedules for completion of each project.

  • Creates individual project component schedules and timelines
  • Works closely with internal teams and outside vendors to ensure schedules are being met.
  • Monitors and coordinates fulfillment of materials and delivery to client
  • Communicates project status details to internal team and outside vendor partners on an on-going basis
  • Provides on-going status reports to department manager regarding budgets and timelines, inventory, delivery, and other pertinent items on each project

 

4. Manages project setup and maintenance, including billing.

  • Sets up projects and jobs in MIS computer system and communicates setup to all pertinent departments
  • Ensures that contracts (or final quotes) are accurate in system and accessible to other team members
  • Assists with identifying internal processes and improvements for managing work flow
  • Ensures outgoing invoices to be submitted to association clients are prepared, reviewed, and sent in a timely fashion
  • Ensures incoming invoices for printing or production projects, or other outside services are reviewed for detail and accuracy, are approved and processed for payment in a timely fashion

 

5. Maintains records of marketing campaigns and materials.

  • Maintains and updates promotion campaign records, including physical sample archives and electronic files
  • Periodically reviews marketing materials archives for ideas, updating, purging, etc.

 

6. Manages other marketing, research or related projects as needed.

Qualifications

  • Bachelor’s degree in Marketing, Communication, Advertising or related field
  • Minimum 3 years of marketing experience, including experience in Trade Show/Event promotions or marketing
  • Strong organizational skills with good flexibility to adapt to quickly shifting priorities
  • Excellent written and verbal communication skills, including experience with B2B writing and creative; demonstrated ability to writing compelling copy a must
  • Experience working with print and mail houses desirable
  • Demonstrated problem solving and time management skills; ability to coordinate and oversee multiple projects at one time
  • Experience working with and coordinating with third party vendors, preferably promotions or marketing support firms
  • Enjoyment of working in a fast-paced environment requiring an ability to multi-task
  • Proficient in Microsoft Office Suite including Word, Excel and PowerPoint
  • Proficient in Adobe Illustrator; InDesign
